How to cancel an engagement, when a refund is due, and how long it takes to reach you.

We sell professional services, not physical goods or off-the-shelf licences. What we deliver is people’s time and the work product it produces, so refunds turn on how much work has been performed rather than on returning an item.

1. Cancelling an engagement

You may cancel an engagement at any time by writing to info@vertasya.com from an address associated with your account, or by post to the registered office above. Please include the project or invoice reference. We acknowledge cancellation requests within 2 business days.

Where a signed statement of work sets a different notice period, that agreement governs.

2. When a refund is due

  • Cancellation before work starts. If you cancel before we begin work, any amount you have paid is refunded in full.
  • Cancellation after work starts. We calculate the work performed and costs committed up to the date of cancellation, and refund the balance of what you have paid. Where a deposit is stated as non-refundable in the statement of work, that portion is not returned.
  • Duplicate or failed payments. Anything charged twice, or charged for an engagement that never began, is refunded in full.
  • Defective delivery. If a deliverable does not meet the agreed specification, we correct it at no charge under the warranty in our Terms & Conditions. Where we cannot correct it within a reasonable period, you may cancel and receive a refund for that deliverable.

3. When a refund is not due

  • Work already performed and accepted.
  • Time spent within a retainer period that has elapsed, whether or not you used it.
  • Third-party costs we committed on your behalf with your approval — licences, subscriptions, cloud infrastructure — where those are non-recoverable.
  • A change of mind about a direction that was agreed in writing and built to.

4. How long it takes

We approve or decline a refund request within 7 business days and tell you which, with the calculation. Approved refunds are issued within 10 business days of approval.

Refunds go back by the route the payment arrived on. A card refund is returned to the same card, and typically appears on your statement 5 to 10 business days after we issue it, depending on your bank. Bank transfers are returned to the originating account. We cannot refund to a different card or account than the one used to pay.

For payments made in a currency other than Indian rupees, the refund is converted at the rate applying on the day it is processed. That may differ from the rate on the day you paid, and any difference is outside our control.

5. If you disagree with the outcome

Write to info@vertasya.com setting out why. A director reviews the decision and responds within 10 business days. We would always rather resolve this directly than have you raise a chargeback, which is slower for both of us.
